AAMC began their PeopleSoft Grants journey when leadership recognized their grant program growth was at a crossroads. For the prior 10 years, grant funded projects grew organically and opportunistically. They were successful with Foundation and Research Institute grants but many opportunities to standardize and streamline processes and systems remained. As a result, a new business plan was written that focused on new growth opportunities and maturation. A key component included the selection of a proven Grants Management technology platform that was fully integrated with back office applications.

  • CHALLENGE PRESENTED
  • AAMC began their PeopleSoft Grants journey when leadership recognized their grant program growth was at a crossroads. For the prior 10 years, grant funded projects grew organically and opportunistically. They were successful with Foundation and Research Institute grants but many opportunities to standardize and streamline processes and systems remained. As a result, a new business plan was written that focused on new growth opportunities and maturation.   • PROPOSED SOLUTION
  • AAMC initially partnered with Oracle and SpearMC to evaluate and demo PeopleSoft Grants applications to their business leadership. A strategic program was then kicked off with SpearMC coordinating a series of interviews with several leading U.S. research institutes. The interviews helped identify best practices and gain insights into the standard processes required to support various grant types including Federal regulations and guidelines.
  • RESULTS ACHIEVED
  • The discovery phase was quickly followed up with a Phase I deployment of PeopleSoft Grants, Project Costing, Contracts, and a third-party solution to integrate clinical staff time and effort. Phase I scope addressed pre and post award process design. It addressed a variety of grant models and sponsors including milestone-based and pre-paid contracts. The clinical trials solution was centered on a well thought out interface between PeopleSoft and the clinical trials management system (CTMS) by Velos. Another key component of Phase I was the design of a new effort certification process that integrated a third-party Human Resources system with PeopleSoft Project Costing.

HOW WE AAMC SUCCEED

  • Phase 2 was planned in order to reduce the initial implementation risk and cost by delaying the deployment of Accounts Receivable and Billing.  Overall the project was completed on time and on budget.  The solution successfully transformed the management of grant funded programs while streamlining related accounting and finance processes.  Benefits include integrated systems with automated interfaces and transactions processing, standardized reporting and analytics, enhanced end-to-end controls, reduced organizational risk, standard processes and well-defined roles and responsibilities.  AAMC now has the platform and foundation it originally envisioned to support growth and expansion to new grant funded sponsors.
